Where the hours go between an RFQ landing and a quote leaving

Most of the time between an RFQ arriving and a quote going out is not estimating. It is the package waiting to be opened, the print being read into a spreadsheet, numbers retyped between tools, the right revision hunted for, vendors waited on and a PDF passed around for a check. This guide names each of those stages, then says which ones VenturusEQ removes and which it does not.

Before anyone opens the file

The clock starts when the customer presses send, not when an estimator notices. An RFQ sits in a personal inbox, or a shared one nobody owns, until someone sorts the morning's mail. Nothing is being estimated during this time; the package simply has no owner.

Reading

The print is read once to see what the part is, again to find the material and the finish, and again later to find the note that changes the price. A multi-sheet drawing is scrolled; a title block is squinted at; a thread call-out is looked up. On a package of forty parts, reading is a day.

Typing

Everything the estimator learns from the print and the model is typed into a spreadsheet: the part number, the material, the hole count, the stock size, the quantities from the email. Then it is typed again into the quote document. Each copy is a chance to be wrong, and the copies drift.

Hunting for files

Which revision is current, which model goes with which print, where the customer's parts list went, and whether this bracket was quoted last spring and at what price. The answers are in folders named by customer, by date or by whoever was quoting at the time.

Waiting on vendors

Heat treat, plating, a casting, a length of exotic bar. An email goes out, a price comes back in a day or two, and it is typed into the sheet with no record of who quoted it, when, or in what currency. If the quantity changes, the loop runs again.

Approvals and hand-offs

Someone senior wants to see the number before it leaves. The PDF is emailed, comments come back, the spreadsheet is changed, the PDF is regenerated. Then the buyer retypes the line items into a purchase order by hand.

Which of these VenturusEQ removes

  • The package as the record removes most of the hunting. Every file is hashed, given a role and paired with its drawing or model by evidence. A public request form and an email dropped in as a file give the package an owner from the start, and one search finds any quote, note, RFQ number or file name. The part library holds every part ever quoted, with history, and quote again copies the last one.
  • The read removes the second and third reading and the first typing. The print is read once by the AI and comes back as proposals: material, holes with threads, tolerances with datums, finishes, heat treat, notes, the sheet manifest. The estimator confirms each one in the same page instead of transcribing it.
  • The two cost lines remove the arithmetic and the second spreadsheet. The measurement and the confirmed values cost through the shop's templates beside the estimator's own worksheet in the same rates. The quote is built from the numbers, not retyped from them.
  • The sourcing loop removes the vendor chase. A sourcing request is fired from the line, the vendor's price is captured with currency, exchange rate and lead days, and the selected price lands in the bucket with its source.
  • The digital quote removes the send-resend loop and the buyer's retyping. The quote goes out as a link from the shop's own mailbox where that is switched on, the buyer picks a break and accepts on the page, and the acceptance is a frozen document rather than a PO built by hand from a PDF.

Which of these it does not remove

The judgment. Which setup, which stock, whether to bid at all: an estimator decides, and nothing prices until they confirm it. A vendor's own response time. A customer who sends revision C halfway through. And there is no formal approval workflow before award; what the product offers instead is a review queue where a question to engineering or quality is routed with a due day and is visible to everyone, and one editor per line so nobody is waiting on a file somebody else has open.

How to measure your own turnaround

Time-stamp four moments on your next twenty RFQs: received, first opened, price complete, quote sent. The gaps between them show where the waiting is.
