A quote your buyer accepts online, kept exactly as they saw it

The digital quote is a signed-out page your buyer opens from a link sent by your own mailbox. They pick a quantity break and an expedite, take or leave optional add-ons, decline a line, download the PDF, share their selections, and accept with their name, email, title and PO number. The acceptance is frozen line by line as a document, and your staff still award the quote.

What the buyer can do without calling you

Pick a quantity break

Every break you priced is on the page with its unit and extended price, shown as exact, a range, a maximum or hidden, the way your display settings say.

Choose an expedite

Your expedite ladder, days faster for a percentage more, is a choice on the page rather than a phone call and a revised PDF.

Take or leave add-ons

Required add-ons are already on the price. Optional ones are a tick box the buyer decides on, and the totals follow.

Decline a line

A buyer can accept the quote without the line they will not order. The rest stands, and the declined line is recorded as declined.

Download and share

The PDF is one click. The buyer's selections can be shared with a colleague before anyone commits to them.

Accept

Name, email, title and PO number, with consent recorded. The page then shows the frozen acceptance, and an accepted-document PDF is produced.

From submit to award

  1. Submit freezes the baseline

    Submitting a revision locks a snapshot, sets the expiry from your validity period, and supersedes any earlier submitted revision. Company terms and default notes are frozen on the revision and printed last.

  2. Send from your own mailbox

    The email goes from your shop's Microsoft 365 mailbox, configured per deployment, using your company's template with the quote number, the customer, the expiry and the link. Resend is the same button.

  3. The buyer opens it, and you know they did

    View counts and the last view are recorded as salted hashes. No IP address, no browser fingerprint, no person tracked. The saved view "never viewed" tells you who has not looked.

  4. The buyer accepts

    The acceptance is a line-by-line snapshot with totals, the buyer's identity, the PO number and their consent. Neither side can edit it afterward.

  5. Your staff award it

    Acceptance is not "won". A person on your side runs the award, which refuses an expired price, records the outcome, and fires the signed quote.won event to your other systems.

What you control before the buyer sees anything

Eight display settings

The RFQ reference, your phone, email and website, totals as exact, a range, a maximum or none, the prepared-by line, where notes print, and the name you give a process.

Internal and customer-visible notes

Internal notes stay internal. Customer-visible notes print, at line level and at revision level. A refused line prints "No quote" with its reason rather than a blank.

Drafts carry a watermark

The staff PDF carries a draft watermark until the revision is submitted, and previews inline so nobody has to download it to check it.

Controlled quotes never get a public link

A quote carrying controlled data never gets a public link, and the fence is re-checked on every open, not once at send time.

One neutral page for expired or wrong links

An expired, superseded or mistyped link shows the same page and reveals nothing. Reads and acceptances are rate-limited per link.

An expired quote can be requested again

The only action on an expired page is to request an updated quote. The buyer's words land on the quote for your estimator, and a signed event fires.

Common questions

Does my customer need an account to open the quote?

No. The link opens a page with no sign-in, nothing to register and no password. The link is specific to the quote revision and rate-limited, and if it has expired or is wrong it shows one neutral page that reveals nothing about the quote.

Can the customer accept only some of the lines?

Yes. A buyer can decline a line and accept the rest, pick a quantity break, choose an expedite, and tick or leave the optional add-ons. What they accepted is frozen exactly as they saw it, line by line, with the totals.

If the buyer accepts online, is that a firm order?

It is a frozen record of what the buyer agreed to: every line and quantity, the totals, their name, email, title and PO number, and their consent, produced as an accepted-document PDF. A person on your side awards it, and VenturusEQ does not create a sales order. The signed quote.won event carries what your other systems need.

Does the quote email come from us or from you?

From you. Sending uses your shop's Microsoft 365 mailbox, configured for your deployment, with a per-company template that fills in the quote number, the customer, the expiry date and the link. Replies come to you, not to us.

Can I see whether the customer has opened the quote?

Yes. Opens are counted and the last one recorded, as a salted hash rather than an IP address or browser signature, so you learn that the quote was seen without anyone being tracked. A saved view lists the quotes nobody has opened yet.
